Procurement intelligence

Buy from the right supplier. Pay the right amount.

Vendrix reads supplier quotes, invoices, and purchase orders, compares suppliers like for like, and flags duplicate invoices and price drift before payment — with every recommendation traced back to the source document.

Reads supplier documents

Quotations, invoices, purchase orders, and contracts become structured, searchable records.

Compares like for like

Price, lead time, payment terms, and supplier history side by side, normalised per unit.

Checks before you pay

Duplicate invoices, price drift, and quantity mismatches surface with the evidence attached.

Cites every answer

Recommendations and copilot replies link back to the exact document and line they came from.

The problem

Purchasing decisions are made from inboxes and spreadsheets.

In most mid-sized manufacturers and distributors, the facts behind a purchase — the quotes, the PO, the delivery, the invoice — sit in different places. Checking them against each other is manual, slow, and easy to skip when the queue is long.

01

Quotes arrive in five formats

One supplier sends a PDF, another an Excel sheet, a third a price in an email body. Someone retypes them into a spreadsheet before anyone can compare — and unit prices, freight, and payment terms rarely line up.

02

Invoices are checked by eye

Accounts payable matches invoices to POs and delivery notes manually. A re-sent invoice with a new number, or a 9% unit-price rise on a familiar part, is easy to miss in a batch of two hundred.

03

Approvals live in inboxes

Purchase requests are approved by reply-all. Nobody can say which orders are waiting, who signed off, or why a more expensive supplier was chosen when the auditor asks.

Why it does not scale

Every new supplier, site, and SKU adds checking work that grows faster than the team.

Vendrix replaces the retyping and cross-checking with structured records: each document is read once, verified by a person where the AI is unsure, and then reused for comparison, matching, approval, and reporting.

  • Duplicate and over-billed payments

Leakage that is only found at month-end reconciliation, if at all.

  • Price creep goes unchallenged

Small increases compound across repeat orders and categories.

  • Buyer time spent retyping

Skilled procurement staff spend hours on data entry instead of negotiation.

  • Decisions that cannot be explained

No audit trail linking a purchase to the quotes and approvals behind it.

Core features

One workspace from supplier quote to approved payment.

Each capability works on the same verified records, so a field confirmed once is reused by comparison, risk checks, the copilot, and reporting.

AI Document Intelligence

Upload a quotation, invoice, PO, or contract and Vendrix extracts the supplier, line items, quantities, unit prices, payment terms, and delivery dates.

Each field carries a confidence score. Low-confidence values are highlighted for a person to confirm before the record can feed a comparison, approval, or payment check.

Supplier Comparison

Quotes for the same request are normalised per unit and scored on price, lead time, payment terms, and the supplier’s delivery history with you.

You set the weighting. Vendrix explains its recommendation in plain language and shows the trade-offs — the procurement manager still makes the call.

Procurement Risk Detection

Every incoming invoice is checked against purchase orders, receipts, and past invoices for duplicates, unexpected price rises, missing PO references, and quantity mismatches.

Alerts show the evidence side by side — the two invoices, the price history, the received quantity — with actions to hold payment, request a credit note, or dismiss with a reason.

Procurement Copilot

Ask questions in plain English: which supplier was cheapest for an item, what you spent on packaging this quarter, which POs are waiting for approval.

Answers are generated only from your organisation’s authorised records and cite the supporting documents. If the data does not contain the answer, the copilot says so.

How much did we spend on packaging last quarter?

Answer from verified invoices

Spend is built from verified invoices and POs rather than exported ledger codes, so categories and suppliers are consistent from the first document.

Purchase Orders & Approvals

Raise purchase requests, attach quotes, issue POs, and track delivery. Approval chains follow your thresholds and roles.

Requests above a value route to finance; urgent orders can be escalated. Every approval, edit, and comment is time-stamped in an audit trail.

How it works

Five steps, with a person approving every decision that matters.

Vendrix automates reading and checking. People stay responsible for confirming uncertain data, choosing suppliers, and releasing payments.

  1. 1

    Capture

Forward supplier emails or drag in PDFs, scans, and spreadsheets. Documents are stored in your workspace and queued for reading.

    Quote · Invoice · PO · Contract

  2. 2

    Extract and verify

Vendrix pulls out suppliers, line items, prices, terms, and dates. Uncertain fields are flagged for a reviewer to confirm.

    Confidence per field

  3. 3

    Compare and decide

Quotes for the same request line up per unit. A weighted, explained recommendation supports the buyer’s decision.

    Weighted scoring

  4. 4

    Check before paying

Invoices are matched to the PO and receipt. Duplicates, price rises, and mismatches raise an alert with evidence.

    Three-way match

  5. 5

    Approve and record

Requests and exceptions route to the right approver. Every action lands in the audit trail and the spend dashboard.

Who it’s for

Built for the teams that buy, check, and pay.

Vendrix is designed for businesses that purchase physical goods and services from many suppliers — where small price and billing errors repeat across hundreds of orders.

Manufacturers

Procurement and purchasing teams

Challenge
Hundreds of recurring components, packaging, and MRO items bought from overlapping suppliers, with quotes compared in spreadsheets.
How they use Vendrix
Run RFQs for packaging and components, compare quotes per unit, and watch for price drift on repeat parts.
Benefit
Consistent supplier decisions and early warning on cost increases.

Distributors and wholesalers

Buyers and category managers

Challenge
Thin margins where a few percent of unnoticed supplier price movement erodes profit across thousands of SKUs.
How they use Vendrix
Track unit-price history per supplier and SKU, and compare alternative suppliers when a price rises.
Benefit
Margin protection through visible, evidenced price changes.

Finance and accounts payable

Controllers and AP specialists

Challenge
Manual three-way matching, duplicate invoices with altered numbers, and invoices with no PO reference.
How they use Vendrix
Review flagged invoices with evidence, hold payments, and request credit notes from one queue.
Benefit
Fewer incorrect payments and a cleaner month-end close.

Operations managers

Multi-site and growing businesses

Challenge
Site teams buy locally with little central visibility of who ordered what, at what price, and with whose approval.
How they use Vendrix
Standardise purchase requests and approval thresholds across sites, and track delivery status per PO.
Benefit
Central control without slowing down the people who need supplies.

Technology

How We Use Amazon Web Services

Vendrix is designed as a serverless, multi-tenant application on AWS. Supplier documents land in tenant-scoped storage, are read by managed document AI, reasoned over by foundation models that only see a workspace’s own records, and surface in the workspace through authenticated APIs. The marketing site and interactive product prototype are built today; the services below form the production architecture being implemented for the first pilot workspaces.

  1. 01

    Document intake

    • Amazon API Gateway
    • Amazon Cognito

Authenticated upload endpoints; every request carries the user’s workspace and role.

  2. 02

    Secure storage

    • Amazon S3
    • Amazon DynamoDB

Original files in tenant-prefixed, encrypted buckets; structured records partitioned by workspace.

  3. 03

    Extraction

    • Amazon Textract
    • AWS Lambda

Text, tables, and key-value pairs read from quotes and invoices, then normalised into line items.

  4. 04

    Procurement intelligence

    • Amazon Bedrock
    • Amazon EventBridge

Explained recommendations, risk checks, and cited copilot answers; scheduled re-checks and reminders.

  5. 05

    Workspace experience

    • AWS Lambda
    • Amazon CloudWatch

APIs behind dashboards, approvals, and audit trails, with metrics and alarms on every stage.

Services and their role in Vendrix

Each service maps to one job in the procurement workflow. Tenant isolation is enforced in the data model and IAM policies, and AI features only receive records from the requesting workspace.

Security, architecture, and roadmap
  • Amazon Textract: Extracts text, tables, and key-value pairs from supplier quotations, invoices, purchase orders, and contracts, including scanned documents.
  • Amazon Bedrock: Generates supplier comparison explanations, risk-alert summaries, and copilot answers grounded only in the workspace’s own records, with citations.
  • Amazon S3: Stores original supplier documents in encrypted, tenant-prefixed locations, with lifecycle rules for retention.
  • AWS Lambda: Runs the extraction pipeline, line-item normalisation, three-way matching, and the workspace API handlers.
  • Amazon API Gateway: Exposes authenticated REST endpoints for uploads, records, comparisons, approvals, and the copilot.
  • Amazon DynamoDB: Holds suppliers, documents, extracted fields, purchase orders, approvals, alerts, and audit events, partitioned by workspace ID.
  • Amazon Cognito: Manages sign-in, organisation membership, and the administrator, procurement manager, finance, and reviewer roles.
  • Amazon EventBridge: Schedules recurring checks such as overdue deliveries, stalled approvals, and periodic price-drift scans.
  • Amazon CloudWatch: Collects logs, metrics, and alarms for extraction latency, failed documents, and API errors.
  • Amazon Simple Email Service: Sends approval requests and alert notifications, and delivers website enquiries to the Vendrix team.
